Operations Analyst

Job Summary:

Working directly with UTOPIA’s Chief Operating Officer (COO) and Operations leadership, the Operations Analyst owns and continuously improves UTOPIA’s operational and financial reporting, turning data into clear, consistent, decision-ready insights. This role is responsible for the recurring reporting cadence (weekly, monthly, quarterly), ad hoc and long-term reporting initiatives, and expanding reporting into supply chain and inventory analytics. The analyst will also support select operational programs such as fleet tracking and field equipment administration.

ESSENTIAL TASK FUNCTIONS:

Reporting ownership and delivery

  • Own UTOPIA’s recurring reporting cadence, including approximately 10 weekly reports, 15 monthly reports, and 5 quarterly reports, ensuring on-time delivery and consistent standards.
  • Produce, maintain, and improve reports and dashboards with a focus on usability, accuracy, consistency, and quality.
  • Manage ad hoc reporting requests and long-term reporting initiatives, including complex reports where data collection is still being built out.
  • Consolidate and report trends, including variance reporting, asset analysis, and performance drivers.
  • Develop templates, definitions, documentation, and data collection tools to improve reliability and reduce manual effort.
  • Partner with stakeholders across the organization to collect, validate, and reconcile operational and financial data.

Operational performance and process improvement

  • Assist with development, implementation, and measurement of KPIs and operating performance criteria to track business activity and work efficacy.
  • Participate in the design, modification, implementation, and maintenance of processes and project management artifacts, recommending improvements where appropriate.
  • Assess and recommend new tools, methods, and process changes that improve reporting accuracy, reduce cycle time, and improve decision-making.
  • Prepare and deliver presentations and summaries to executive staff and ISP senior staff as requested.

Supply chain and inventory reporting

  • Build and maintain reporting that tracks inventory levels directly (not just proxies), including trend analysis and forward-looking risk identification.
  • Support creation and upkeep of an accurate inventory library for equipment authorized under existing RFPs, including part standardization, cataloging, and change tracking.
  • Partner with inventory procurement, accounting, and operations managers to improve visibility into inventory levels, purchasing activity, and manufacturer lead times.
  • Assist with RFP support and manufacturer or equipment onboarding efforts as needed.

Additional operational support (as assigned)

  • Assist with fleet management and maintenance reporting, including ensuring vehicles are properly monitored via GPS and dashcam systems, and supporting vehicle lifecycle tasks such as disposition of older vehicles.
  • Support administration of field apparel and equipment programs (e.g., Locate and FSG) and UTOPIA’s boot program tracking.
SKILLS AND ABILITIES:
  • Strong written and verbal communication skills with the ability to present complex information clearly to technical and non-technical audiences.
  • Highly detail-oriented with strong follow-through, able to maintain focus amid frequent interruptions and shifting priorities.
  • Advanced proficiency in Microsoft Excel, including data modeling, pivoting, automation, and QA practices.
  • Ability to pull, interpret, and modify Tableau reports and translate them into actionable insights.
  • Strong organizational skills, ability to manage recurring deadlines while balancing ad hoc work.
  • Ability to work independently while collaborating effectively across multiple departments.
  • Comfort working with incomplete data and building improved collection methods over time.
EDUCATION AND EXPERIENCE:
  • Bachelor’s degree in Business Administration, Finance, Accounting, Operations Management, Computer Science, or a related field preferred.
  • Experience in an analyst role supporting operations, reporting, or supply chain functions preferred.
  • Demonstrated experience building and maintaining recurring reporting packages and handling ad hoc analysis requests.
